RECOMMENDATION:
Recommendation
1. Authorize the Purchasing Division to procure VMware maintenance and support utilizing NASPO State of California Participating Addendum Contract AR2472 (Addendum 7-17-70-40-05) in accordance with Purchasing Policies and Procedure Manual 3.1.5 Non-Competitive Proposal - Purchase by Another Agency.
2. Approve the purchase from Sidepath, Inc. of Laguna Hills, CA as the authorized reseller in the amount of $119,380.00.

COUNCIL GOALS:

• Invest in the City’s infrastructure (streets, sewers, parks, etc.) by maintaining and improving the city's existing infrastructure.
DISCUSSION:
The City relies on its VMware virtualization platform as the foundation of its server and storage infrastructure. VMware supports the City’s critical applications, public safety systems, enterprise services, and internal departmental tools by providing a stable and efficient environment for hosting a large percentage of the City’s systems and applications.
To ensure the reliability, security, and continuity of these systems, annual maintenance and support must be renewed. This renewal entitles the City to continue using the VMware software that powers the virtual environment. Without current licensing, the virtual environment would cease to function entirely, and the systems and applications running on it would become unavailable.
Continuing VMware maintenance and support is a planned lifecycle renewal and does not expand services or introduce new functionality. Instead, it maintains the stability, reliability and performance of core technology systems that support virtually all City departments and operations.
FISCAL IMPACT:
The fiscal impact associated with the approval of this item is $119,380 and is included in the FY25-26 Innovation and Technology budget in the Hardware Replacement Project #02621003.
